The role holder will provide an efficient and effective PA, office management, and project co-ordination service to the Managing Director, Principal Investing, LGC and the Principal Investing team.

Purpose:

The role holder will provide an efficient and effective PA, office management, and project co-ordination service to the Managing Director, Principal Investing, LGC and the Principal Investing team.

They will provide support to the wider LGC PA and Administrative team, including cover during absence and support during periods of high workload.

The role holder will assist in the preparation of reports and papers to Committees and Boards and will ensure that all documentation produced is to a consistent style and brand. The role holder will be responsible for collation of management information and presenting it in packs for Committees.

Principal Accountabilities:

  • Provide Personal Assistant support. To include managing, understanding  electronic diaries and prioritise effectively.
  • Co-ordinating of external meetings with counterparties, investee companies and advisors including ability to achieve advantageous outcomes, organising internal meetings. 
  • Arrange and book both UK and Overseas travel and accommodation, principally for the Managing Director, Principal Investing but also to provide support to other team members of the Principal Investing team.
  • Effectively manage, assist and support other team members as and when required.
  • Support the Committees that the LGC Managing Director, Principal Investing chairs, including pre-scheduling meetings, organising attendees, co-ordination of agendas, collating and issuing packs.
  • Assist in the preparation of papers for other team related meetings. To include assistance in preparing slides and Board papers, ensuring that appointment changes are communicated effectively and meeting papers provided on a timely basis.
  • Liaise with team members and invoice approvers to ensure prompt settlement of invoices.
  • Assist in the organisation and coordination of wider team meeting and events.
  • Work effectively with the wider LGC PA and EA community to ensure there is always high quality support in place and providing cover during absence and at periods of high workload.
  • Deal promptly with all paper, e-mail and telephone enquiries.  Assessing the nature and importance of issues, taking action as necessary, including prioritising ad hoc papers and, if relevant, re-directing enquiries so they are dealt with promptly.
  • Collect, store and manage Management Information and Committee Packs
  • Keep accurate and confidential records in respect of staff holidays, expenses, policy compliance etc. in order that Group and department reports are accurate and comply with Group standards.

Experience, Qualifications, Knowledge and Skills:

Experience:

  • Previous PA roles supporting senior management
  • Experience of supporting a wider team not essential but preferabe.

Qualifications:

  • Ideally degree educated or equivalent

Knowledge:

  • Microsoft Office: Good knowledge of Outlook and Word essential; Powerpoint and Excel basic experience required
  • Adobe Acrobat

Skills:
