The role holder will provide efficient and team administrator support, office management and service to the Legal & General Capital (LGC) team.

The role holder will report to the Executive Assistant, LGC and will be expected to efficiently assist with diaries, book meeting rooms, process invoices, raise new supplier requests, organise travel, events and other aspects of LGC office support.

The role holder will report to the Executive Assistant, LGC and will be expected to efficiently assist with diaries, book meeting rooms, process invoices, raise new supplier requests, organise travel, events and other aspects of LGC office support.

The role holder will work as part of the PA team providing cover to other PA/EA roles as and when required.

Principal Accountabilities:

  • Provide administration support including arranging external meetings, booking travel and accommodation, processing expenses and ordering business cards.
  • Work effectively with the wider L&G PA and EA community to ensure there is always high quality support in place and where appropriate providing support to other PAs in the team as required.
  • Initiate payment of invoices for the LGC team, raising new supplier requests to ensure invoice payments can be made and dealing with queries which subsequently arise.
  • Keep accurate and confidential records in respect of expenses, policy compliance etc. in order that Group and department reports are accurate and comply with Group standards. Reviewing gifts and hospitality declarations for the LGC team
  • Working on own initiative to provide office management services to L&G Capital team including new joiners, desk and move management, maintaining distribution lists, managing internal events (team briefings, off-sites etc.) and external events including relationship events with third parties.
  • Produce correspondence, agendas, minutes, PowerPoint presentations and Excel spreadsheets to a high standard.
  • Deal promptly with all paper, e-mail and telephone enquiries.  Assessing the nature and importance of issues, taking action as necessary, including prioritising ad hoc papers and, if relevant, re-directing enquiries so they are dealt with promptly.

Qualifications, Knowledge and Skills:

Qualifications:

  • Good GCSEs ( Numerate and Language)

Knowledge:

  • Microsoft Office including  PowerPoint, Word, Excel, Outlook
  • Adobe Acrobat
