We are recruiting for a Team Assistant to provide administrative support a number of senior stakeholders in the Hove Office.

  • Support Heads of Area by arranging meetings and managing diary, email management, travel arrangements, collation and creation of presentations, managing regular meeting agendas and supporting materials and minute taking, ensuring accuracy and consistency.
  • Support the wider team within the location by organising team travel, stationery, workshop/training course bookings with appropriate equipment, Health and Safety, ensuring ‘New Starter’s’ are set up with appropriate system and building access and equipment, collating structure charts, overtime tracking, departmental invoices, holiday records, Lifecycle Orders, all in a confidential, efficient and timely manner using initiative regarding work priorities. Maintaining distribution lists.
  • Deputise for other Administration Assistants & PAs in times of absence and annual leave. 
  • Collate monthly Gift and Hospitality Returns for the designated teams and escalate up to the relevant PA within agreed timescales.
  • Support co-ordination and related administration of key HR processes such as Performance Reviews, Salary Reviews and Talent Boards.
  • Contribute to Customer Service projects and wider LGICS initiatives as required.
  • The ability to prioritise work to importance and deadlines and to be flexible in a continuously changing environment.
  • The jobholder should be capable of dealing with all problems that arise in connection with the role at the specific location. Seek proactive resolution and continuously suggest ways to improve existing processes and procedures.
  • The jobholder should be capable of working alone and unguided, dealing with any situation that arises and doing all necessary advance work for the senior team to minimise their administration workload.
  • Excellent typing skills are essential to the role.
  • Demonstrate accuracy at all times.
  • The workload will vary greatly as will deadlines and pressure.  The jobholder must be flexible enough to cope with this and remain calm in role. 
  • Good communication skills are essential, as the jobholder will be constantly sending out all nature of communications on behalf of the Direct Reports. Required to deal appropriately at Board level and able to adapt communication style accordingly.
  • The jobholder is required to work as part of a team, building up good relationships with not only the senior team at the location but also other groups within Insurance and associated PAs, irrespective of location and including external contacts. Take a proactive approach to assisting peers and sharing knowledge and expertise.
  • Full liaison with other PAs to share best practice.
