We're recruiting for a PA on a permanent, full time basis in our Birmingham office. The role will support the Head of GI Marketing, and the Head of GI IT/Change.

To provide a full professional PA service of the highest standard to senior managers/Directors and to develop an excellent knowledge of the General Insurance business to enable them to operate with maximum effectiveness in accordance with regulatory and legislative requirements and Legal & General values.

 

  • Responsibility for designated senior managers including full diary management of internal and external meetings with agenda and supporting material, full support with email management where required, travel arrangements, collation of expenses to upload onto internal system, collation and creation of presentations, ensuring a high degree of confidentiality, accuracy and consistency at all times.
  • Maintain/ support various offerings (e.g. board and committee packs, structure charts), ensuring accurate production and maintenance of documentation, presentations and communications for designated senior managers.  Continually review and update formats and maintain version control as appropriate.
  • Provide prompt, professional and courteous support to any enquiry from any internal or external customer.  Assess the nature, confidentiality and urgency of the issue, taking remedial action as necessary.
  • Act as a point of contact for the allocated senior managers, delivering a professional image of Legal & General and responding to their enquiries in a timely manner across all media, taking ownership that issues are resolved and integrity is preserved.  Liaise and actively coordinate with other General Insurance PAs and Administrators to deliver a consistent and complete support function.
  • Experience supporting numerous members of an executive team.
  • A comprehensive knowledge of all appropriate systems to the Insurance business including Intranet, SharePoint, PC software including Microsoft Outlook – Word/ PowerPoint/ Excel, this list of systems is not exhaustive. 
  • Ability and willingness to grasp new or unfamiliar software quickly when necessary.
  • The ability to prioritise work to importance and deadlines and to be flexible in a continuously changing environment.
  • The jobholder should be capable of supporting problems that arise in the senior managers’ absence.
  • The job holder should demonstrate the highest standards of honesty, integrity and confidentiality, protecting all confidential information by maintaining appropriate storage and filing, as well as using sound judgement regarding any sharing of information.
  • The jobholder should be capable of working alone and unguided dealing with any situation that rises and doing all necessary advance work for senior managers to minimise their workload.
  • Demonstrate accuracy at all times as the jobholder will often send out correspondence on behalf of their senior managers.
  • As workload will vary the role holder should be prepared to be flexible to suit business needs wherever possible
  • Good communication skills are essential, as the jobholder will be constantly sending out all nature of communications on behalf of the senior managers.
  • The jobholder is required to work as part of a team of PAs within General Insurance building up good relationships within their designated business areas and outside of the Division internally and externally. Take a proactive approach to assisting peers and sharing knowledge and expertise.
