We are currently recruiting a 'Ways of Working' Office Co-ordinator & Admin Support on an 18 Month Fixed Term Contract in our London office.

To make sure we make the best use of our workspaces, the WOW Office Co-ordinator's responsibilities will include:

•Maintenance and Safety - Deal with all queries and issues related to the workspaces in the office, liaising with Group Real Estate, where necessary.

•Legal Responsibilities - Liaise with Group Real Estate to make sure that LGR maintains its responsibilities for first aiders, fire wardens and other critical roles.

•Storage and Lockers - Manage office storage requirements, including cupboards and locker allocation.

•Secure and Clear Desks - Oversee secure and clear desk requirements, carrying out audits and spot checks as required and working with each team to deal with any issues. Make sure regular cleaning is undertaken to the right standard, working with GRE to deal with any issues.

•Seating and Plans - Maintain a current desk/seating plan for the building, showing all users allocated to the space, along with future demand from planned recruitment.

•Neighbourhood Management – Review neighbourhood allocation on an ongoing basis and co-ordinate requests for back-to-base and other days.

•Visitors – Approve requests for visitor access to the building, making sure that overall demand on site is managed within appropriate limits.

•New Starters – Deal with requests from each neighbourhood for workspace requirements driven by new starters.

•Professional Office – Undertake a regular review of the Group Finance office space and ensure it is professional, tidy and adheres to the WOW principles.

To make sure we make the most effective use of all IT tools, the WOW Office Co-Ordinator’s responsibilities will include:

•Desk-Booking System – oversee the Condeco desk booking system, administering changes to the neighbourhoods, setting up user access and dealing with queries and questions.

•Skype – deal with user queries and learning needs for Skype, including voice and video calls. Encourage users to adopt the tool, sharing best practices and offering tips and training.

•Peripherals – replace broken headsets and order new equipment for new users, ensuring charges are placed with the appropriate cost centre.

•OneDrive  - deal with user queries and learning needs for OneDrive. Encourage users to adopt the tool, sharing best practices and offering tips and training.

•Desktop hardware – ensure all desk hardware (phones, docking stations, peripherals) remain fit for use, liaising with IBM and LGIM IT to deal with/escalate any reported problems.

•Engineer support – liaise with IBM to arrange desktop support where appropriate (e.g. installation of new kit), adhering to agreed workflow such as the RFS/MPP process.

•Printers – deal with reported printer issues, liaising with third-party suppliers as required.

•Home working – liaise with all users to make sure they have the equipment they need to work effectively at home, ensuring charges are placed with the appropriate cost centre.

To make sure we make the most effective use of WOW tools and workspaces, the WOW Office Co-Ordinator’s responsibilities for adoption and learning will include:

•Super users and champions – support the super users and champions as a point of contact and subject matter ‘expert’ in ways of working

•Training and learning – liaise with each directorate to plan and oversee bookings for external (and internal) training related to Ways of Working.

•Events and meetings – support the Ways of Working by co-ordinating local events and meetings intended to encourage awareness and understanding of Ways of Working.

•Communication – support and enable local communications initiatives as agreed through the Ways of Working programme (e.g. posters, desk drops) – support delivery of central communications material through Landscape (e.g. updated user guides and FAQs.)

•Meeting and site use – broader co-ordination of meetings, rooms and sites to facilitate the smooth operation of Group Finance

It is also expected that the Co-ordinator will provide support to the Executive PAs within Group in arranging meetings, co-ordinating meetings and providing adhoc cover for absences.

- Excellent communication skills.  Ability to produce good written communication and to communicate at all levels of the organisation.

- Competent in the use of Excel, Word, Powerpoint, Outlook, Internet

- Adaptable to change and able to be flexible

- Remain resilient and reliable under pressure

- Ability to prioritise tasks

- Able to adhere to deadlines

- Able to liaise with other departments/support services to negotiate effective outcomes to issues

- Deal confidently with any issues that arise and resolve or escalate as appropriate.  Seek proactive resolutions and continuously suggest ways to improve existing processes and procedures.

- Able to work independently without close supervision, dealing with any situation that arises; however also able to work well within a team
