We have an exciting opportunity for an Administrative Assistant to join our team in Hove. The successful candidate will provide a support service for Heads of Area within Group Protection Transformation & Operations and their wider teams.

To provide a secretarial and administrative support service for Heads of Area within Group Protection Transformation & Operations and their wider teams, working flexibly with other administrative and PA team members to ensure administrative support and cover as required. Supporting the GP Transformation & Operations team through proactive support, acting with the highest of standards of integrity and confidentiality at all times.

  • Support Heads of Area by arranging meetings and managing diary, email management, travel arrangements, collation and creation of presentations, managing regular meeting agendas and supporting materials and minute taking, ensuring accuracy and consistency.
  • Support the wider team within the location by organising team travel, stationary, workshop/training course bookings with appropriate equipment, Health & Safety, ensuring ‘New Starter’s’ are set up with appropriate system and building access and equipment, collating structure charts, overtime tracking, departmental invoices, holiday records, Lifecycle orders, all in a confidential, efficient and timely manner using initative regarding work priorities. Maintaining distribution lists.
  • Deputise for other Administration Assistants and PAs in times of absence and annual leave.
  • Collate monthly Gift & Hospitality returns for the designated teams and escalate up to the relevant PA with agreed timescales.
  • Support co-ordination and related administration of key HR processes such as Performance Reviews, Salary Reviews and Talent Boards.
  • Contribute to Group Transformation projects and wider Insurance Customer Service Initiatives as required.

  • A good knowledge of all appropriate systems to the Insurance business, including Intranet, Sharepoint, PC Software including Microsoft Outlook - Word/Powerpoint/Excel, this list of systems is not exhaustive. Ability and willingness to grasp new or unfamiliar software quickly when necessary.
  • Previous experience in an administrative support role would be desirable but not essential.
  • The ability to prioritise work to importance and deadlines and to be flexible in continuously changing enviroment.
  • Proactive issue resolution and ability to suggest ways to improve existing processes and procedures.
  • Capable of working alone and unguided, dealing with any situation that arises and doing all necessary advance work for the senior team to minimise their administration workload.
  • Excellent typing skills and accuracy are essential to the role.
  • Good communication skills are essential, both verbal and written, and ability to adapt communication style according to the audience.
  • Relationship building at all levels and proactive in assisting peers and sharing knowledge and expertise.
  • A general understanding of the company structure from Executive Director level, through to PAs Direct Reports and all LGI teams.
  • Knowledge of organisational infrastructure is essential, as is a broad network of contacts at all relevant locations
